Summary

The instant appraisal feature is a lead generation tool agents can use to capture prospective sellers' details.

Instant Appraisal Link

The generic URL is https://myatrealty.com/property-report/form

Agents can have their own URL by adding the User ID. For example Jenna Smith’s User ID is 9675330 and her URL would be https://myatrealty.com/property-report/form/9675330

New Zealand agents use a separate link — see New Zealand Instant Appraisal below.

Agent’s cannot access their ID, they need to contact Support to retrieve this.

However, agents can access their Instant Appraisal link from their Landing Pages.

User Experience

When someone clicks on the link, they will be taken to the 1st step where they are requested to enter their address

When the address is found, it will display on screen

Next, they tell us their relationship to the Property

If Owner Occupier or Owner Investor is selected, they are asked when they are thinking about selling

Then they are asked for their details

They are then sent to the Property Report page where they can see an estimate and comparable Sales and Listings. For Australian properties the estimate is pulled from Pricefinder’s automated valuation model. New Zealand reports are generated from CoreLogic data instead — see New Zealand Instant Appraisal below.

The Get to know agent better button will link to the atrealty website by default, however this can link to the agent’s website if there website is added to their profile REAL-5932 - Getting issue details... STATUS

If the Pricefinder cannot generate an estimate the below message will display

An email will also be sent to the User with a link to the Property Report so they can view it at anytime in the future. Email API Notifications & Templates Used

New Zealand Instant Appraisal

New Zealand agents have their own version of the Instant Appraisal. It is referred to as the Instant Estimate in New Zealand, but it is the same lead generation tool.

The generic URL is https://myatrealty.com/property-report/form_nz and, as with the Australian link, an agent has their own URL by adding their User ID, for example https://myatrealty.com/property-report/form_nz/9678391

When someone clicks on the link, they are taken to the 1st step where they are requested to enter the property address

When the address is found, the property displays on screen along with its bedroom, bathroom and parking details

The bedroom and bathroom counts are never entered by the person completing the form. They are read from CoreLogic against the matched address, so neither the User nor the Agent can change them on the form.

Next, they tell us their relationship to the Property

Then they are asked for their details

Once the form is submitted, the details are captured against the agent in the same way as the Australian form and the Property Report is generated.

They are then sent to the Property Report page where they can see an estimate and comparable sales. For New Zealand properties the estimate and the comparable sales come from CoreLogic, not from Pricefinder.

How Comparable Sales are Selected

Comparable sales on a New Zealand report are matched to the subject property’s bedroom count, or fall within plus or minus one bedroom of it. Where too few sales exist within that range, the tolerance is widened rather than dropped, so a report can show comparables further away from the subject’s bedroom count when close matches are scarce.

Where CoreLogic does not hold a bedroom count for the subject property, comparable sales fall back to locality and recency, which can produce a mixed range of bedroom counts. This is expected behaviour and not a fault with the report.

This applies to New Zealand property reports only. Australian property reports are unchanged and continue to behave as described in User Experience above. DTD-4329 - Getting issue details... STATUS

Contact & Property Creation

If the person that completed the form as selected that they are either Owner Occupier or Owner Investor



The system will automatically create the Contact and Property Record in the CRM for you.

How to use the Instant Appraisal

This is a great tool to use in marketing activities. Here are a few use cases:

  1. Include the link in Email Marketing. Newsletter, Price Updates, New Listing email, etc.

  2. Mass SMS to your database. Ex: The market is always changing. Click here to get an instant valuation on your property {insert link}

  3. QR code on Letterbox drops

  4. Printed QR displayed on the kitchen counter at Open Homes

  5. Link included in your email signature

Head Office Follow Up Process - HO Generated Leads

When a lead comes through to HO from a HO generated marketing campaign we need to send the lead to an Agent that services the area the property is in. This should be done fairly and the distribution of leads should be spread across the network as best as possible.

When forwarding a lead from Freshdesk - a canned response has been created and should be used at all times. See below.

The canned response is located:

The Canned Responses are set up in Freshdesk as per below screen shot

All follow up emails should be done on the same Freshdesk ticket so it becomes one central point of communication on the particular lead

Freshdesk Ticket

The Freshdesk ticket should be tagged with INSTANT APPRAISAL and status changed to Pending through the HO follow up process.

Jira

A Jira board has been created to track the instant appraisals, note who the lead was passed to and how the lead tracked. Ultimately we want to be able to track the success of the HO Marketing Campaign and monitor the effectiveness of the plan.

A Jira ticket is created automatically once a Lead comes through and this will need to be reviewed daily to ensure that the ticket is up to date with all the relevant information.

It is important that all details are completed and notes are included in the Activity so we know where things are at and what action has been taken. Things to note are along the lines of (but not limited to):

  • Lead assigned to [agent]

  • Follow up phone call with [agent] made - [outcome / notes]

  • Appraisal completed and Agent advised property is being listed on [date]

  • Property sold [date]

  • Copy of URL for the Freshdesk ticket to be inserted as a comment in the Jira ticket as a reference point

Created → Lead Assigned
