How to create a listing record

A listing record can only be created from a Property Record, so the User needs to create the Property Record first. 


Residential Listings

When clicked, the User will be able to select if the Listing is For Sale or For Lease. 



Conditions for creating a new residential listing record

If there is already a For Sale Listing Record with status = Draft, Active, Withdrawn or Under Offer the For Sale option will be greyed out.



Listing Wizard

The listing wizard is the step by step process the User needs to complete in order to create the Listing Record.

Step 1 - Marketing

In this step the User will add the Marketing campaign to the listing record if there is one. 








When a ‘Campaign’ is added, it will display in this step with each of its Items. 


Step 2 - Listing

This step contains the details that will be on the Listing Agreement. Most of the fields are the same for all countries and states, however there are a few differences based on the location of the property.



The Price/Display Price field is a required field and used for filtering on the websites. It cannot have a number lower than $2,900.



Type of Sale is a dropdown with the following options:

  • Asking Price

  • Enquiries Over

  • Auction

  • By Tender

  • Price by Negotiation

  • Deadline Sale



Asking Price will only display if Asking Price is selected in Type of Sales. This is a number only field.


Enquiries Over will only display if Enquiries Over is selected in Type of Sales. This is a number only field.



Auction Date will only display if the Authority field is set to Auction. This date will display on the websites when advertised.



Auction Time will only display if the Authority field is set to Auction. This time will display on the websites when advertised.



Tender Closing Date will only display if By Tender is selected in Type of Sales. This is a date field.



Deadline Date will only display if Deadline Sale is selected in Type of Sales. This is a date field.



The Listing Status options will differ based on the Type of Property and Type of Listing. The options are:

  • Active

  • Under Offer

  • Sold

  • Off Market

  • Withdrawn

  • Draft



When Display sold price when sold is ticked, the Sold price will display on the websites when the Listing status is changed to SOLD.



The Authority field is based on the type of agency authority the seller has signed. The options are:

  • Exclusive

  • Open

  • Auction

  • Sole Agency

  • Multi list

  • Conjunctional

  • Sale by Negotiation

  • Set Sale



The Authority Start Date should be aligned with the start date of the Agency Authority. This will auto-populate with current date when the User is creating the Listing Record



The Authority Expiration Date is the date the Authority will expire. This will only be required if the Authority Status is:

  • Exclusive

  • Auction

  • Sole Agency

  • Multi list

  • Set Sale


This will auto-populate with date that is 90 days after the Authority Start Date.



The Commission Type field is a dropdown where the User can select if the commission to be charged is a Fixed amount or Percentage.




The Commission Amount field is dependent on the Commission Type field. If Fixed Amount is selected then the User will enter the GST inclusive Amount to be charged. If Percentage is selected the the User will enter the GST inclusive percentage which will be used to calculate the commission based on the SOLD amount in the Settled Offer.



Display Address on Websites will display the address on all websites if YES is selected, otherwise only the suburb will be displayed.



REA Direct UID only displays for Australian listings and for Admin Users. This is where we can enter the realestate.com.au UID to connect the listing on the REA website to the listing in the CRM if we need to.



Agent Selection will display the Primary Agent, which will be at the top of the listings. Agents can add one other agent to the listing. Any agent in the @realty network can be selected as long as they do not have different realestate.com.au accounts. Once selected they choose what the commission split is, this will be used in the Agent Commission Statements.



Step 3 - Ad Details

This step will includes the ad header and description along with any key links that needs to be included in the Listing Ad.



The Headline and Description have a Green Generate Description button will automatically generate the text for the ad based on the information already added to the Property Record.

The Video Link field is where the User can add the Youtube video link for the listing. This MUST be a Youtube link in order to display on realestate.com.au

The Property URL  is for webpages built specifically for the a Listing.

There are 2 Virtual Tour link fields for Virtual Tour URLs.

The Buyer Registration URL is for Buyer Offer links from platforms such as Market Buy (Click 2 Buy) or Openn.

 

Step 4 - Photos

This is where photos can be added and re-arranged by dragging and dropping. Users can also select individual photos to delete multiple at a time.

Floorplans are added to the floorplan section.



Step 5 - Open Times

Open times are added in Step 5. When the User selects the start time, the End Time is auto-filled with a time 15 minutes later. The User can select the times in 15 minute intervals or they can type in a custom time.

The times are added as Open Inspections



Step 6 - Documents

This is where the User can upload the required and optional documents for the listing.



Step 7 - Websites


This is where the User can select the websites to upload the listing to. The User can SELECT ALL websites or select them individually. The list of websites will vary by state


The Promo Type options will be displayed based on what the Admin Team creates.


The Promo Types for trademe.co.nz are hard coded. This is because the upgrades to the Listings can be handled through the API instead of the requiring a manual upgrade.
