If you have been given notice to terminate a management agreement by an owner, you should check that the correct notice period has been given as per what's stated on the agreement. Typically, the termination notice period is 30 days in writing, however, this can differ.
You should in no way hinder the management transition process. You should act professionally & transparently at all times. You should provide all relevant information as required.
Entering Lost Management Information into Cloud
If you have received a termination notice, you should advise HO Rentals as soon as possible by entering lost management information into the Cloud.
Please see steps below on entering lost management information in the Cloud:
In the Property Record, click 'Managements' > click the pencil icon on the current management record

Change the Status to 'Lost' > Input 'Lost Reason' > Input 'Lost Date'

Click 'Save Changes' at the bottom once complete

This will notify the HO Rentals Team that the management is being lost from the lost date you enter. Ho Rentals Team will enter this date into Property Tree so rent payments are not receipted past the lost date.
Handover Documents
You should provide the following handover documents to the new managing agent/owner on the date the management is being terminated:
- Current or most recent tenancy agreement
- Entry condition report/inventory/entry photos
- Copy of keys provided to the tenants at the beginning of their tenancy
- Copy of the tenants application forms and supporting identification
- Rent / Tenancy Ledger - as at the handover date
- Bond Transfer Form or documentation
- All keys/remotes for the property
- Details of any current repairs/maintenance requirements
- The date of the last routine inspection and copy of the routine inspection report including photos
- Current smoke alarm compliance certificate
- Termite barrier/pest control information
- Gas and/or water compliance certificates
- Date of last Air Con Service (if applicable)
- Copy of any outstanding tenancy invoices (water charges, utilities costs etc)
- Current pool compliance certificate (if applicable)
- Contact details of the tenants including phone and emails
- Copy of any notices relating to arrears or general tenancy matters (if applicable)
Change of Managing Party to the Bond
To change the managing party to the residential bond, the HO Rentals Team will either need to provide a signed form or initiate the bond transfer in an online portal - depending on the state.
