When the seller or buyer is a company or trust, you set up the full ownership structure in the AMLHub app. The CRM can't represent trusts, companies or trustees, and resubmitting from the CRM won't fix a wrongly structured deal.
1. Confirm the structure with your client first
Find out who owns and controls the entity before you start: directors, shareholders with 25% or more, trustees, and appointors or controllers of a discretionary trust. It's legally your responsibility to establish this.
2. Start the deal in the CRM as normal
Add the individuals you know as contacts, pay, and click Create AML Hub Deal. See Completing an AMLHub Deal: CRM to App to Handover.
3. Build the structure in the app
AMLHub nests the deal: Property → Company → Trust → the people who control it. Add every director, trustee and 25%+ owner, and answer the extra questions:
| Company | Trust |
|---|---|
| Does the company have a constitution? | Trust type |
| Foreign exposure? | Country of establishment |
| Nominee shareholders? | ABN |
| Country of establishment | Certified copy of the trust deed (required) |
| ACN / ABN |
4. Name a primary contact
Tell AMLHub who to call so they can follow up straight away.
5. Upload documents — or send them to Support
Upload the trust deed and company documents on each entity's Documents tab. If the app won't upload them, email the PDFs to support@atrealty.com.au with the property address and deal reference, and we'll pass them to AMLHub.
6. Hand over
Click Handover. Complex deals take up to 3 business days once all documents are in — the trust deed is usually what holds them up.
Not sure how to structure the deal? Contact the @realty Support Team on 1300 299 377 or support@atrealty.com.au before you submit; it's much easier to set up correctly than to fix afterwards.
